PTO Meeting Minutes
June 7th, 2007
The meeting was called to order at 9:20 am
Approximately 30 people were in attendance.
Treasurer’s Report
All fundraisers have been conducted, with a year-to-date total of
$84,080. The Nixon Auction Fiesta was a HUGE success, bringing in $47,193,
so there will be no General John’s March fundraiser this year and we
will not sell gift wrap in the Fall. The full-year forecast is now 237% attained.
Net Income is $92,578, which is 199% attained. Operating Profit for the year
is currently $45,467, vs. a budgeted loss of $13,787, for a favorable variance
of $59,254.
Co-President’s Report
The Auction was very successful. Some of the money was raised at
the end of the night, when there was a cash call to pay for DVD/VHS players
for each grade level. There is already a committee planning next year’s
auction night. They will evaluate whether this is an annual event or if it
is held every other year. The budget committee will discuss what to do with
the funds raised this year.
The PTO dinner at Sky was lots of fun, with approximately 35 people attending. The Nixon Staff held a Volunteer Appreciation Luncheon yesterday, which was delicious and the parents are very thankful. The Staff sent a thank you card for the luncheon that the parents held for them last month. If you have any directory changes, you can make them on the Nixon website. There is a Request for Funding from the Nixon Staff, asking that the Teacher’s Fund dollars be distributed to the teachers in the Spring (now) instead of in the Fall. This would allow the teachers to shop over the Summer. From an accounting standpoint, this would be treated as a prepaid expense. This was voted on and approved. A few months ago, Kathy Zito had requested a School Gift of $1,000 to purchase leveled reading books. At the time, $750 was granted, as we did not want to deplete the School Gifts budget. Since there is still money in the School Gifts fund, we are now able to grant her request of the remaining $250. This was voted on and approved. Tracie Nathin gave an overview of the PTO Bylaws. The Bylaws have been re-written and brought up to date. The revised Bylaws are available on the Nixon Website. Please review them, as they will be voted on at the September 2007 PTO meeting.
PTO Committees
Please clean out the PTO corner. Take your items home, if possible,
or pass them on to the new committee chairs. There is very little storage
space available at school. If you are an outgoing co-chair, please pass on
any information you may have to the new co-chair. Budget Request Forms have
gone out and are due back on June 15. The Nominations Committee has been very
successful this year, and most of the PTO spots were very easily filled. Several
new positions have been created. There is a new co-treasurer position, which
Dianne Brown has offered to hold, so that she can learn from Stacey throughout
the year and be ready to take over next year. A position has been added to
manage the Teacher’s Dinners. Whenever there is an evening event at
school (Monster Mash, Bingo Night, etc.), there is a dinner for the teachers
who stay to participate in the event. This has previously been done by the
co-presidents, and Deidra Vingers has offered to take on this responsibility
