PTO Meeting Minutes
April 5th, 2007

The meeting was called to order at 9:10 am
Approximately 25 people were in attendance.

Treasurer’s Report
Most major fundraisers have been conducted, with a year-to-date total of $28,625. The full-year forecast is 81% attained. We still have Bingo Night, the Mexican Fiesta Auction Night and the General John’s March remaining. Invoices were paid for the yearbook, which should be offset by yearbook revenue. Net Income is $33,304, which is 72% attained. Operating Losses for the year are currently $7,135, vs. a budgeted loss of $13,787.

Co-President’s Report
There are various educational summer camps available to Sudbury families. Pamphlets were brought to the PTO meeting for a Summer Reading Skills Program at B.U., a design camp at UMass, and a Summer Math Academy in Waltham. A location will be determined to prominently display brochures on these camps, as well as other information for parents. Cameras were purchased for each grade level and the administration. These will be used for projects and field trips. Pictures of the children’s artwork will be put taken and uploaded to the website. Yearbook is also hoping to archive some pictures for the “memories” section of the yearbook. The Premier Company will produce the agenda books again. They will be delivered in the Spring so that they are ready for the first day of school. Each year, the 5th grade stays after school one day at the end of the year to help the teachers clean their rooms, then they all have a pizza party together. The teachers have asked the PTO to fund the pizza and the drinks for a cost of $200. This was voted on and approved. All PTO announcements at school meeting must be approved and scheduled with Liz Whiteley. We must communicate to Liz Whiteley exactly how much time is needed for the announcement to allow for proper timing of school meeting. Announcements should be short and to the point with no more than one demonstration per PTO event. There has been a group of teachers and parents reviewing school meeting and they are going to implement the following changes: no standing ovations, more grade level events, limiting each child to 3 performances per year, encouraging more academic performances, sending a notice to parents if their child needs to practice more before performing, encourage more diversity in the presentations. The PTO Committee Openings have been posted and they encourage everyone to take a look at how they can become involved. There will be two Principal Coffees on class placement – one today and the other on April 11th at 7:00 pm. The Tanglewood Marionettes are performing today for grades K-2.

Fundraising
Bingo Night will be April 27th. The 5:30 seating is already sold out, but there are still tickets available for the 7:30 seating. The Nixon Auction Fiesta will be on May 11th at Stow Acres Country Club. There will be a live and a silent auction, Mexican food, drinks, and dancing. They already have 60 items to auction and are looking for more. Auction items include rounds of golf, sports tickets, vacation homes, and camp tuition. Tickets are $50 per person, which includes the food, 2 margaritas and entertainment.

Hospitality
The Teacher’s Appreciation Luncheon will be May 9th. They will be looking for parents to make food, and help with the set-up and clean-up.

Library
The Spring Book Fair will be April 30-May 4. Books will be on display in the library, with all selections coming from the Summer Reading List. Parents can order the books and they will be delivered to their child in June.

The PTO raffled a Innisbrook Gift Basket which was won by Holly Bernene.

The next meeting will be May 10 at 9:15am.
